  1. The product currently has limited 3 approval captures per project. Archibus would offer a more competitive edge to be able to setup workflows and set as many approvals need in the tool throughout the life cycle of the project. Sort of like an SLA where it's configurable to match to features like a project type, or program type or location where it may need multiple approvals and certain conditions. Such as being able to setup approval workflows for a project such as:
If a project is over X amount of dollars, the approving group is a member of ie, the…

  2. We ask the possibility to remove the commas in a file name automatically when a user uploads a new document with commas in the file name or the possibility to implement a check to avoid the uploading of a file containing comma/s in its name.

  3. It appears as though even the newest versions of ARCHIBUS are shipping with an SFTP .jar/library for use with the connectors which is no longer supported by a number of SFTP hosts as it is out of date.

The current edtftpj-pro.jar file appears to have been procured from the third part vendor enterprisedt.com and is version 5.2.4 which was released back in 2017. There have been 10 subsequent releases with the latest being v7.1.0.

SFTP based export connectors are no longer usable without work arounds for a number of clients as a result.

  4. Currently a compliance event gets assigned to the Responsible Person for the requirement. If there is more than one person performing inspections, it is very tedious and time consuming to have to go into each event (or group of events) and re-assign them to another person.

It would be ideal to have a Responsible Group, similar to a work team in maintenance, that would allow the inspection to appear on the device of all members of the inspection group. This would allow anyone with membership to perform the inspection.

  5. When readings are collected as part of a maintenance inspection survey, there is a view (in v25.3 and later) "Maintenance Survey Report" that is available to view the actual questions and answers for each survey.

Compliance does not have any reports that summarize the survey, questions and answers in a format where something like daily readings can be reviewed over a period of time to recognize trends or changes.

It would be very helpful to have a report that could be filtered by the questionnaire, date range, eq_id or standard or location just like the maintenance survey. The ability to…

  6. When there are a lot of questions under a questionnaire and some do not apply based on the 1st question answered Yes/No, want to collapse the section so the user is not scrolling thru questions to get to the next section.

In this example: a chiller system has 4 chillers, at any one time 1 or up to 4 chillers could be running depending on weather conditions.

That means if only Chiller 3 and 4 are running, the inspector needs to scroll thru all the questions for 1 and 2 to get to their questions for 3 & 4

    If…

  7. With Accessibility being added to the application, it should be on by default and not even a configuration parameter.

Having to debug issues with it on and off adds considerable time to implementation for both the consumers and for ARCHIBUS. Having to support only one development stream is in everyone's best interest.

Its 2021, accessibility should just be there and there really isn't a valid reason why someone should want to turn it off.

  8. The empty schema database that ships with ARCHIBUS should only have the bare essential users (AFM, SYSTEM, GUEST) and roles to get the application running.

If you feel like the large volume of users & roles are needed, it should still be empty, but perhaps a task under system admin can be run to generate those users and roles.

  9. It would be useful to be able to put a pin on a site map to identify a specific location for exterior service calls that do not adhere to a building/floor/room criteria. We regularly submit service calls to our Grounds division and it would be useful to accurately locate a problem area.

  10. Workplace Sign In

We are able to remove this option from web central, however, there does not appear to be a way to remove it from Workplace. It would be nice if ARCHIBUS could add an app parameter, AbEssentialFacility.GuestAccountPermitted, similar to AbSystemAdministration.GuestAccountPermitted

  11. Since the very first version of the Smart Client Extensions for AutoCAD the command AFV is no longer available.

AFV is a function that allows the AutoCAD designer to choose which Asset fields to show when performing a catalog layer.
As this function is used from within AutoCAD it gives the user the flexibility to temporarily change the assets texts in specific drawings.

The Smart Client Extenions for AutoCAD does include a global setting per Asset called Set Asset Text Visibility.
To change the visible asset text users will have to use the System Administration / ARCHIBUS System Administration /…

  12. Enabling workplace in kiosk mode automatically signs in the GUEST account
However if SSO is enabled it is not possible to sign in as GUEST
Therefore the kiosk feature is not available for those clients (which are pretty numerous).
A solution could be for instance to be able to define a specific user account to be used with the kiosk (instead of the default GUEST account).

  13. In the Maintenance Console I noticed that there is a spot to update “Other Costs”. Our operation uses this function on a regular basis for special order items that we do not normally stock or to enter in Vendor details (such if we pay Culligan and need to document the cost for their services) however I noticed that once the information is initially entered that the information cannot be edited.
In the view below – for example- the company TMI Heat was not originally set as a “resource type” therefore someone just chose General.
After the fact, I can go…

  14. A lot of times when using Data transfer, thats done to allow others to fill out details and provide back for uploading (move lists, for example)

It would be nice to display the ml_heading in teh column headers for read-a-bility and the field names in a hidden column that gets used for archibus to read-in (kind of like the windows client used to work....)

  16. In smart client if I want to view to table, I open the view, but if I want to check another table, I have to close the current view to open another table view, and then if I want to go back to the first view I was looking at again I need to close the current view to open the previous one. This all becomes very frustrating.

So this suggestion is to have option to open these views in additional tabs so you can open multiple ones at the same time.

  17. Web Central allows for the capturing of the Physical Count of Parts per Storage Location and then running an adjustment process to update the quantity available from the physical count. A mobile functionality to capture the Physical Count of Parts per Storage Location will improve the turnaround times, accuracy, and user-friendliness of this process i.e. an Inventory Manager can sync the information to the app on a device, update physical count values and then sync back.

  18. If the end user performs a Smart Search and selects a building then goes to Advanced Search and performs a different search the Smart Search shows the original search and is not updated with the Advanced Search parameters. This is extremely confusing to the end user especially if they do a building name search in the Smart Search and then go to Advanced Search and do a different building search.

    Response from ARCHIBUS Development team:
Development has determined that this behavior is unfortunately a consequence of the product's design. “Smart Search” and “Advanced Search” are two separate functions and they…

  19. V25.2 SmartSearch floor list does not have a scroll bar. It is not obvious to the end user how to find the building and floor they want if they have access to a large number of buildings that meet the search criteria (for example room category). You can hover at the bottom of the list and SOMETIMES this will scroll (not always) but it is not intuitive.

  20. There is a need to review all the various emails that are sent in the Building Operations Module and ensure that they can be managed consistently from one place. Currently some email notifications are hard coded (e.g. Preventative Maintenance SLA Emails, when a WR is forwarded to a workteam/supervisor, etc.), some are managed only from the message table and some are added by the user under "Manage Service Desk Steps".
