Consistent Email Notification Management
There is a need to review all the various emails that are sent in the Building Operations Module and ensure that they can be managed consistently from one place. Currently some email notifications are hard coded (e.g. Preventative Maintenance SLA Emails, when a WR is forwarded to a workteam/supervisor, etc.), some are managed only from the message table and some are added by the user under "Manage Service Desk Steps".

it would be also nice to review the email system with better email support:
- longer email (currently the field size is small
- HTML support with HTML templating
- way to create your custom email for certain status instead of using a generic one when there is a status change. For example, when the work is planned and the request is issues, it would be nice if we could configure an email that the craft person Alex is going to be on site at 10:00 is an appointment is required.
- white list support for development. When we are on testing environment, emails are usually disabled, so it's hard to improve them and test them
- management of the notification log table, this table tends to become huge over time. -

I can't speak to the shortcomings of the standard emails available and generated by Archibus. Instead, we have been using NotifyRT to generate our outgoing Archibus emails. It is an add-on created and supported by the Archibus Research Triangle Solutions Center (https://www.asc-rt.com/services/). It provides a flexible means to define email templates for any purpose containing variables using any Archibus DB fields. The emails are triggered by changes to selectable (field) events. For example, you can send a particular email template whenever a Work Request for the Mechanical Team changes status to Complete. The email can be directed to any email address in Archibus, for example the Requester (as a variable example) with copies to the assigned craftsperson or any static email address or alias. If you are interested, I suggest contacting your assigned Archibus integrator and ask them to contact the ASC (Manager Jane Bullock at jbullock@asc-rt.com).

This should be the case for ALL Archibus email notifications. If there is specific java code to manage the email notifications, those should be moved to the messages table, inludind Lease Alerts.

Also have the ability to attach work request details, to the WR email, as a PDF document and the ability to format content of that PDF.

This seems to be an issue in hoteling as well, messages are hard coded. Please stop hard coding things in the product and move these messages to the message table.

Can we also include Hoteling messages in the same location. They are currently hardcoded and difficult to manage. These should all be managed from the same notifications centre.

In addition to having a consistent means of finding, editing and controlling emails, Building Ops related emails need to have a means of being turned off where they have no relevance to the client's workflow similar to the parameter now used to control escalation emails.
