  1. We have seen that when the rule CancelAndNotifyUnconfirmedBookings that sends and cancels Hoteling bookings is sending mails and right after cancelling the Booking.

    This causes an email to be sent when the booking is right after it is cancelled and therefore that mail is confusing and does not provide any functionality. I would say the correct behavior would be to only send confirmation mail to those bookings that are not going to be cancelled in the same execution

    This is the cde that sends the notification and then cancel those same meetings

  2. The addition of Maintenance Checklists was great, but the ability to refer back to the history of completed checklists, print, or search for them in the Maintenance Console is very limited or non-existent.
    1. The ability to search for work that "Has Checklist" from the Maintenance Console
    2. The ability to save a completed checklist in PDF.

    3. Enhance the existing Maintenance Survey Report to group, sort, export and allow printing
    4. Once a work request is Complete and Closed there is no way of getting back to the Checklist - accessibility from Search and Manage to find work requests…

  3. I often find that when the craftsperson links a request from a Preventative Maintenance Request, they forget to change the problem type from "PREVENTIVE MAINTENACE", to the correct on-demand problem type. Once this is done, since the SLA is not designed to move Preventative Maintenance work requests into the " Requested" status, the problem type cannot be changed.

    There are a couple solutions/ improvements that I can see that would solve this issue:

    1. add the ability to move Preventative Maintenance requests to the "Requested" status

    2. When linking requests, change the default problem type to blank instead of the problem type…

  4. When making changes to a specific role, make it possible to only flush changes for the role(s) that were changed rather than all roles.
    When there are 80 users in the system, it is hard to implement a quick change to 1 role because flushing kicks out all users in the system.

  5. All projects perform risk assessments and how to remediate.
    Realistically this could be done with the questionnaire framework in compliance. But we need a bit more functionality.

    1. We can enter a risk within the questionnaire but there needs to be a evaluation of the risk for high, medium, lows, this can be a risk to the schedule or to the cost
    2. There needs to be linkage to remediation actions ie the action items that if completed, it reduces the risk level by how much

  6. Currently Smart Client does not support TLS 1.3 encryption protocol, however our clients are starting to ask for this. Furthermore, since TLS 1.0 and 1.1 have known vulnerabilities at this time, it is only a matter of time before a vulnerability in TLS 1.2 is found. If a TLS 1.2 vulnerability is found, it will be very bad for our clients as IT departments may begin blocking TLS 1.2 connections, which will render Smart Client unusable.

  7. Similar to Hoteling, create a 'Confirmation Time' parameter that will:

    • Set the period of time, before or after a reservation, where users must check-in
    • Tie Non-Check-In to booking cancelation and notification

  8. Currently a compliance event gets assigned to the Responsible Person for the requirement. If there is more than one person performing inspections, it is very tedious and time consuming to have to go into each event (or group of events) and re-assign them to another person.

    It would be ideal to have a Responsible Group, similar to a work team in maintenance, that would allow the inspection to appear on the device of all members of the inspection group. This would allow anyone with membership to perform the inspection.

  9. The current Space Console views are limited to using VPA by Location and not by Organization. We have to create custom views to apply access restriction by Business Unit/Division/Department to provide almost all of the Space Management functionalities.

    Please enable VPA by Organization for all Space Console views so we can use OOTB views.

  10. Would like a way to show/hide Catalog options based on a User Role versus On or Off globally? This includes both items available in the Service Catalog as well the Find Person, Room or Equipment. Some Sites may need options available for one site but not another.

  11. A client has asked about the option to enable a Digital Signatures for maintenance. There was some sort of help file illustrating this to be possible on the mobile https://www.archibus.net/ai/abizfiles/v25.4_help/archibus_help/user_en/archibus.htm#whats_new23/dig_signature.htm?Highlight=digital%20signature
    that is if customized.

    Since it's been a while since this help file has surfaced, can there be the functionality available on webcentral and mobile? It would be nice to have that in the SLA wizard where someone can specify at what step a digital signature from what service agreement role is needed. Ie such as an approver or a supervisor.

  12. Our customers are directed to the Catalog directly. Two of the out of the box that you cannot fix or edit on the front end is "Moves" and "Find person, Location, Equipment".
    I am not sure why customers and guests would have access to equipment but these are not able to be edited by the "Archibus Activity Licensee". Just like adding tiles to the service catalog, I want to have the ability to edit the verbiage of the tile, the display order of the tile as well as hiding what is in the section of the tile.

  13. A calendar type view (like the Labor Scheduler View) that allows our craftsperson's to see their upcoming work by day / week / month for work that is assigned to them. The ability to see the block of time that the work is scheduled to complete and when a work request is selected, the pop up displays the work request details.

  14. We generate our PPMs several weeks in advance as our business requires advance planning for example to ensure resources and access requirements are in place.

    For example, our PPMs are manually generated in blocks of a calendar month at a time, 2 months in advance. So at the beginning of January 2021, we generated the PPMs for the calendar month of March, for us this is approx. 4000 PPMs per month. We have 100k+ assets, over 600 buildings and 16k+ PMS records, the PPMs take a long time to generate, part of the reason for this is down to network…

  15. There is an inconsistency with how Room Reservations can be done using Workplace versus the Mobile Framework.

    Reserving a room in Workplace can be done by viewing a floor plan and selecting an available room but on the mobile framework, the user is required to enter search criteria and is provided with a list of available rooms.

    However, with Hoteling, a user is able to select a building and floor and then choose an available room from the floor plan.

    So Hoteling provides functionality somewhat similar between both interfaces but Room Reservations does not.

  16. This request is for a configuration option to disable Move Management emails.

    The Move Management application can be configured in a variety of different ways, it's often that emails are unnecessary and confusing. If emails are enabled for the Archibus system because they are needed for other applications, there is no setting to specifically disable Move Management's emails.

  17. The lease templates is where you can generate the next lease by copying the values from the template, but is you can't create a new lease from a template while in the lease console.

    So you can create a template here:
    Task: Define Lease Templates
    Task File: ab-repm-lsadmin-add-edit-lease-template.axvw
    Path: Real Property/Leases/Background Data/Define Lease Templates
    that is where you can get an existing lease it copies it changes it into a template for you

    Then to apply the template to a new lease you would go to

  18. Functionality exists for a meeting space booker to check-in 15 minutes before and during the meeting.

    Ensuring users check-in to their meetings is a good process to enforce since it will be able to indicate whether a room was used or not. It isn't uncommon for rooms to be booked but a meeting doesn't actually take place due to cancellations or scheduling and location changes. This will save cleaners time and cleaning resources since they wouldn't be cleaning an unused room.

  20. We constantly have to customize Archibus to show highlighted leases on floorplans. With space console being the primary place for viewing floor plans, it would be helpful if an out of the box highlight/label for leases is present in space console, with the ability to associate rooms to leases. Bringing in the concept of suites wouldn't be a bad idea either, though most customers we service track space to the room and don't use suites.
