  1. Both applications have some key features that the other does have. Implementers are faced with making the decision whether or not to use hoteling or use reservations to satisfy the client requirements.

    For example if we're comparing highlights:
    Reservation:
    -Calendar console views
    -outlook plug in reservations
    -Time selection

    Hoteling:
    -Back to work Cleaning functionality
    -better access to change this data within space management
    -utilization and occupancy reports reflect on this data set

    If they were merged, all that would be needed is a some sort reservation type field to track if a calendar event is created or if there's shifts…

  2. Multiple customers have recently been asking for a Microsoft Teams integration to support Reservations/Hoteling. As Teams is now becoming more of a central coordination point for many organizations, not just for chat but for file sharing and time management, keeping all administrative tasks centralized to a single app like Teams is desired. This could be as simple as an app built for teams that displays Archibus Workplace within the Teams environment.

  3. Actually Hoteling.

    Use QR to verify arrival for hoteling!

    The process will be:

    1. Set the room capacity to, let's say, 12
    2. Have workers/students book the room till it's no longer available
    3. Place a QR label on the Office/ Classroom door
    4. Have the employee/student "check-in" when they come to work/class to verify occupancy...

    We can use the same functionality to verify arrival at a hoteled desk.

  4. Currently hotelling only allows for booking morning, afternoon or a full day. In the current return to work scenarios, we are seeing more requests for more granular bookings capability.

    The specific request is to support hourly bookings based on a start and end time.

    We have received comments such as: "It comes up in every demo"

  5. There is currently no report available for viewing cancelled hotel bookings.

    The "Bookings for a Date Range" report allows the user to search for all bookings except for cancelled ones.

    Room Reservations has a "Cancelled Reservations - Details" report so it would be nice if Hoteling had an equivalent.

At the moment, if you would like to change the formatting or text that shows up in an email that is sent to the requestor of a reservation, you are required to change the Java coding that creates the emails. This is very time consuming and is extremely inconvenient to the client whenever they wish to make a change.
    In the BO emails and the Move emails, you can go directly in to the record on the messages table and make the change. The change then shows up immediately.

  7. The option to add a Terms & Conditions box before confirming a reservation to certain rooms would be very helpful (ie. by booking this room you acknowledge you accept usage policies, will complete a health checklist for Covid protocols, will clean the area between uses, etc.).

    1. The Work Request created from a Reservation should have all the details from the Reservation.
    2. The Problem Types for pre and post works should be configurable.
    3. There should be a more robust way to configure the SLA for this Problem Types, including a Work Team and not just a Trade.
    4. Rooms should remain blocked for reservations until the after cleaning work is complete (regardless of the post block previously configured).
    5. All this should be implemented also for Hoteling (i.e. Hoteling bookings should also have the option of generating pre and post cleaning works)

  8. The capacity management feature that’s new to v25.4 was a welcome sight and it’s a feature that many clients have been looking forward to. There has been some feedback on ways to improve the feature and increase its flexibility.

    • It’s missing the ability to set different capacities for different floors in a building.
    o Currently setting the Occupancy Target % will apply the same value for each floor. Even though a good number of cases will be fine, there are times it will differ and being able to set it at the floor level would be helpful.

  9. The Users

    Booker = The logged in user making the reservation
    Organizer = The employee specified in the Organizer field
    Attendee = A visitor added below the Organizer field

    The Emails

    1) The email with ICS attachment will go to the Booker and Attendees as long as an at least 1 attendee is added.
    2) The email without the ICS attachment will go to the Organizer and Booker if no attendees are added.

    To remain consistent, my suggestion is for the Organizer, Booker, and Attendees get an email in both cases and for the ICS attachment be included in both…

  10. Settings should be available to allow users to edit a reservation after it has started. Situations arise (ie. illness, change in plans) where it would be ideal for the user to shorten or delete the reservation to allow others to use the room.

Multiple clients looking to have notifications as soon as a reservation requiring approval is made instead of having to either constantly check if reservations exist that need approval or wait for the checkRoomAndResourcesApproval email to look at emails past their approval time. Right now there is basically no way to know a reservation that comes in that requires approval if it is for the same day as the reservation as made and many reservations or passing reservation time without approval because no one knows that there is a reservation requiring approval.

  12. Create a Process to notify employees that a desk they have booked is no longer available.

    Reasons for the unavailability:
    1. desk changed from Hotelable to permanent seating
    2. layout change
    3. renumbering
    5. required cleaning or other work order in process

  14. Add a "notes" field to the Room and Arrangement records to document the policies/rationale for the room's/arrangement's creation, modification, etc.

    We have a large number of reservable space in multiple large office buildings and managing and documenting why a room or arrangement is created/modified is a real issue. Having a "notes" text field would help our facility managers keep track of the specifics.

  16. Microsoft has ended the EWS support and is shutting this down. We need to have integration with graph API for onprem archibus solutions for room reservations. The API should be bi-directional and allow for multi-room reservations.

  17. When using Outlook plugin with SAML integration users get really confused when they see the Archibus Web Central interface.

    For this it would be ideal if they did not see this and it would auto-close that window.

  18. Companies would like to have the assurance an employee who has booked a workspace is actually at the office when they are checking into a booked workspace. Enabling location services on the mobile app, and building the capability to either conduct an auto-check-in when the employee arrives at the office, or perhaps also enabling push-notifications to trigger a check-in reminder when the employee arrives at the office (Example: "We see you've just arrived to an office where you currently have a workspace booked.   19. When Editing a Reservation, a new email is sent for changes (date/time), but no cancellation email is sent to remove original reservation from users calendars.

    It should also generate the cancellation if an Attendee is removed from the original reservation
