Reoccurring and concurrent reservation enhancements
As an Engage administrator,
I would like to be able to configure rules around the number of concurrent, reoccurring and back to back bookings users can make in spaces and desks.
For example:
- Define which users to can make reoccurring bookings in some spaces
- Define which users to can make multiple concurrent bookings in some spaces
- Define which spaces a user can make concurrent bookings in, for example hot desks or team spaces
This will support Engage being used for other tasks such as car parking

An enhancement has been released to several Engage booking rule configurations including:
- Building level concurrency limits - Configure per building how many concurrent bookings a user can make. Currently this is limited to a global setting.
- Building level Weeks in Advance - Configure per building how many weeks in advance a user can make a booking. Currently this is limited to a global setting.
- Separate concurrency limits for desks and spaces - Configure how many concurrent bookings a user can make in a desk and in a space

This seems useful but I would recommend also allowing different rules by building / floor. I could see, for example, a popular floor requiring more restrictions (i.e. only booking 1 week at a time) where as less popular floors allowing for repeat reservations up to a few weeks out.

Enable making reoccurring Engage reservation, for improved client experience. For example, reserve same desk (if available) every Wednesday for the month.

We need the ability to create recurring reservations for meeting rooms. For example, a team meeting may happen every Wednesday at 11am or an all-hands meeting the first Monday of every month. The only way this works now is if calendar integration is activated. I added a second idea suggestion to add a description field to space reservations - please upvote both!

As an Engage Administrator,
I would like to set different concurrent desk reservation limits by building or region,
So that I can better suit the unique needs of the different buildings in my portfolio. -
An option to allow a space to be bookable by multiple people concurrently, to provide a mechanism for staff to use spaces like breakout rooms and have people find them via bookings.
Considerations
- ability to set number of concurrent bookings
- ability to notify user that space allows multiple bookings (to avoid anyone thinking they have exclusive use of a spot)
- link to team booking rules -

It would be great if we could control the amount of consecutive days a staffer can reserve a single station.
Currently we want to allow our staff to reserve 2 weeks out but only to reserve one station 5days in a row, or consecutively.
However, there is no setting to allow this.
There is only the setting for how many weeks into the future that staffers can reserve space. -

Customer needs to have the ability to set a maximum block booking limit per person per round.

Archibus Reservations already supports this via configuring rooms for Setup (preblock) and Cleanup (postblock) times:
"Specify the amount of time to allow for setup (pre-block) and cleanup (post-block) tasks. The pre-block time is applied to the start of each reservation, and the post-block time is applied to the end of each reservation. You will not be able to reserve a room during the pre- and post-block times
For example, if you specify 15 minutes as the pre-block minutes and 15 minutes for the post-block minutes, and the Time Day Starts as 7 AM , you will be able to make reservations for this room arrangement starting at 7:15 AM. This is because the pre-block minutes are applied to the first reservation of the day by adding the pre-block minutes to the Time Day Starts. Suppose you reserve this room arrangement from 7:15 AM to 9 AM. This means that the room arrangement will be available next at 9:30 AM. This is because 15 minutes (the post-block minutes) are applied to the first reservation that ends at 9 AM, and the pre-block minutes (another 15 minutes) are applied to the beginning of the next reservation. As a Space Planner I'd like to prevent users from booking certain spaces back-to-back to allow time for cleaning between uses.
