    Because this does not exist, we are having to custom create it. We require the CF to log all their hours in some form of WR (even creating monthly PMs that all CFs are assigned to in order to capture their hrs for meetings, time away, training, emails etc.). A rollup of all the WR hrs should then equal their total hours entered into our HR timecard system (Workday). Our need is two fold.

    1) to be able to display a dynamic WR hrs "view" to the CF for a selectable period (defaulting to the current 2-wk timecard period) showing all their regular and overtime hrs logged on WRs in the period, showing each WR contributing to these totals, their description along with their individual record hrs and associated notes. In that way the CF can easily see (in one view) how their Archibus WR hours reconcile against their HR timecard hours.

    2) We also want the ability (from that same view) to easily let the CF make corrections by either clicking on and directly editing the WRs listed (to correct hrs record errors) or to search for other WRs they realize they worked on in the period but don't have hours logged to (even if they are not assigned them yet). This allows them to correct or add hours to these missing WRs, effectively adding them to the dynamic list in the view (for the period). The reason for this is simple. Often CFs are pulled in to work on or help out on another CF's WR and end up never getting assigned to the WR. They then forget to log hours to the WR (while waiting to be assigned to it first). This UI lets them easily and quickly correct for that at the crucial time they are reconciling and entering their timecard system hours (or sooner).

    Again the idea is to provide a fast/easy one-stop UI for the CF to rollup, see, edit and add any missing WRs or hrs so as to reconcile their total hours in a period with the HR timecard hours for that period. It helps to maintain consistency across systems, but more importantly helps assure completeness and accuracy of WR hours recorded in Archibus (at least on a 2-wk basis for us).

    A logical extension to this would be the ability to also filter on or sort WRs based on this field. Taken one step further, making this field a single (or even perhaps up to a three) char variable field of their choosing (instead of a on/off flag) would give the CF even further flexibility to create their own categories or even a sort-order priority for their day's work sequence. Call it the CF's "My Flag". Supervisors or managers might use it to flag a number of different WRs in different ways (specific to themselves) for further action or monitoring.

    I think this is related to this request to better << manage >> the actions buttons individually, so will add it here...... I agree with this post with the additional request that the labels in the action buttons should also be programmatically variable (through the SLA?). For example, We have used the VERIFY action button to be sure a WR undergoes certain gating (pending) steps. Unfortunately, the button always says VERIFY no matter the specific verification action that is necessary. It would be very helpful to be able to see on the console (by the label in the button) the specific action (or verification step) that needs to be done. In general, having the ability to more flexibly name the action buttons can allow us to add more clarity to the console by allowing the SLA definer to indicate specifically what (and even what role) is gating or holding up a work request. I believe this is part of being able to better manage the buttons individually.

    The idea below does not address the generation of a PDF checklist, but it may help you to generate a emailed version of the checklist. I cannot say for certain as we are only about to update to have the checklist capability. However assuming the checklist is located in a Work Request DB field(s) then it is likely that you could generate an email template containing the variable checklist that would be sent out to any email address in an Archibus field (plus static or alias addresses) using the flexible Archibus add-on NotifyRT. For more information contact your assigned integrator and point them to https://www.asc-rt.com/services/. We use it for all our system generated emails.

    I can't speak to the shortcomings of the standard emails available and generated by Archibus. Instead, we have been using NotifyRT to generate our outgoing Archibus emails. It is an add-on created and supported by the Archibus Research Triangle Solutions Center (https://www.asc-rt.com/services/). It provides a flexible means to define email templates for any purpose containing variables using any Archibus DB fields. The emails are triggered by changes to selectable (field) events. For example, you can send a particular email template whenever a Work Request for the Mechanical Team changes status to Complete. The email can be directed to any email address in Archibus, for example the Requester (as a variable example) with copies to the assigned craftsperson or any static email address or alias. If you are interested, I suggest contacting your assigned Archibus integrator and ask them to contact the ASC (Manager Jane Bullock at jbullock@asc-rt.com).

    I have heard that the latest version of Archibus has additional communications capabilities, some of which touch on this. I don't have any more details than that at this point. We are about to upgrade to that version in the coming months. If I don't come back here and give an update by July of '23, leave a comment asking me for an update and I will tell you what I know after seeing and using it.
