  1. With reservations, whether this is a meeting room booking or a desk booking the idea is companies now need to make staff check off for before and after use of a booking/reservation, ie. 'did you do this or that?' This questions seems to vary between clients it would be nice to somehow generate a questionnaire that the administers can setup and ask a question to the requester making a reservation or a desk. Some questions they may ask could be:
    - 'Did you disinfect the space?'
    - 'Do you acknowledge you obeyed this or that?'
    - 'Comment on new safety…

  2. Requires an alternative way to define open office space with workstations that are now used for Hoteling. The current method of polylining the workstations as ROOMS feels like a workaround solution. The end-result comes with flaws:
    1) we end up subdividing the floor plan into numerous "rooms" that are in fact workstations. The polylining exercise is super tedious because we need to ensure that they all add to the accurate total floor area as well. Worse when these workstations are set up in irregular shape (honeycomb, circular etc..) Very difficult to represent them in space.

  3. In Workplace, limit the calendar to working days (configurable).

    It should be possible to configure working days, and hide / disable all dates outside (=weekends).

    And / or, "à la" Outlook, toggle between a full week / working days view.

  5. Make the confirmation email sent when booking a workspace more user friendly.

    1. For the Employee Is: User the users first and last name instead of employee id
    2. List the workspace number separate from the building ID number.
    3. Display the building name as well as the building ID number.
    4. Instead of Day part say Duration of Booking
    5. If authorization is automatic, make sure status: says confirmed

  6. Similar to Hoteling, create a 'Confirmation Time' parameter that will:

    • Set the period of time, before or after a reservation, where users must check-in
    • Tie Non-Check-In to booking cancelation and notification

  7. There is an inconsistency with how Room Reservations can be done using Workplace versus the Mobile Framework.

    Reserving a room in Workplace can be done by viewing a floor plan and selecting an available room but on the mobile framework, the user is required to enter search criteria and is provided with a list of available rooms.

    However, with Hoteling, a user is able to select a building and floor and then choose an available room from the floor plan.

    So Hoteling provides functionality somewhat similar between both interfaces but Room Reservations does not.

  8. Functionality exists for a meeting space booker to check-in 15 minutes before and during the meeting.

    Ensuring users check-in to their meetings is a good process to enforce since it will be able to indicate whether a room was used or not. It isn't uncommon for rooms to be booked but a meeting doesn't actually take place due to cancellations or scheduling and location changes. This will save cleaners time and cleaning resources since they wouldn't be cleaning an unused room.

  10. For both Room Reservations and Hoteling.

    Use case: when a building is getting decommissioned, the client wishes to permit reservations up to the building's final day of operations and no later. In other words, If the building closes on July 1, a user logging in on June 29 should be able to reserve for June 30 but not July 2.

  11. When Booking Restrictions is On, every single space represented as a Room, follows the restriction. So, there is no possibility to have a sector of few community desks booked by Employees from different departments, or divisions, etc.

    Take parking lots as rooms for example. We shall need to have Booking Restrictions for desks but no restrictions when booking parking lots.

  12. Workplace currently allows booking of meeting rooms. For flexible organisations looking to offer booking of IT, AV tech and work equipment resources, the workplace interface would make an excellent kiosk screen for resource only bookings. In addition to the functions available in web, camera barcoding, checking in / out of resources and equipment would make it a really useful addition for flexible / hybrid working.

  13. If the end day does not fit exactly on the day of the meeting, then the reservation will not be created.

    Web central is OK, sets the correct end date. But MS Outlook sets the specified date and it probably makes Archibus problems.

    A message is written in the log that the end date does not correspond to the required one.

  14. Currently Archibus does not allow multiple rooms to be reserved on the same invite in Outlook and have it populate in Archibus through the API. If 2 (or more) people want to schedule a meeting and show up in different rooms in different buildings, this cannot be done. We frequently have 5-10 individuals that will need to work in different geographical areas and be in scheduled room.

  15. The old timeline had a nice visual representation of Pre-block Post-block time for reservations, but the new Calendar Console lacks that. Please consider adding it. If it's not technically feasible on the calendar, consider other alternatives. One of them could be to list the Pre-block Post-block time in the Reservations Summary panel on the left.

  16. I propose to create a dynamic/ responsive booking process with automatic Social Distancing logic – this means:
    1. All of the Hotelable rooms are designated as “Available”
    2. When a room (desk) is booked, the system automatically checks the room’s proximity to other rooms and turns “Unavailable” all rooms that fall within the specified social distance radius.

    Benefits:
    1. Move away from a static floorplan layout – more flexibility
    2. Increase room availability – let say that one room is in the cleaning process, users can still use all the rooms around it.

  17. Provide the ability to restrict meeting space bookings by Team (follow same logic as Work space bookings under hoteling application).

  18. We are looking for the functionality within Workplace and Web Central, when booking a hotelable room having the ability to choose multiple rooms in Web Central and booking “x” number of rooms by a single individual at the same time.

    This can be accomplished in many ways, add a space console-esque concept where you can build a waiting room of individuals and drop them in rooms in a fast and efficient manner.   19. When creating a reservations request and designating the number of attendees, a user can only use the +/- buttons to set the number of attendees. Would be ideal if a user could type in the number of attendees especially because most meetings are above 20 people.

  20. Reservations -> Background Data -> Define Room Arrangements

    • Choose a room arrangement
    • Set the "Maximum Capacity" and "Minimum Required" values to something high for testing such as 99 for Maximum Capacity and 30 for Minimum Required.
    • Now go to Workplace to Book a Meeting Space.
    • Go to the floor plan of the room arrangement that was modified.
    • Depending on the other rooms on the floor, the room may not be highlighted blue. The Seats filter will likely have increased to a maximum of 99 seats. The slider would need to be moved to 30 for the room to be highlighted.…
