  1. When booking a workstation you are able to book in someone else's name, but it would be nice for this to be controlled somehow (for example with a security group)

    Additionally it would be nice to make groups of people you can book for such as a secretary booking for people in their department/division

  2. In the Room Reservation workflow on the Workplace portal, it would be great for an employe to be able to bring up room information (to include an image of the space) from the floor plan, before selecting "Book" - this allows an employee to gain a better understanding of the space before they book it. Suggestion: an "Info" icon that displays on the Book Room pop-up that the employee can drill into, before hitting the "Book" button.

  3. It would be useful to be able to change the default calendar view to scheduler or work week, and not the week view. Most users are making a view change as their first step in making a reservation.

  4. When selecting a room over the floor plan on the workplace portal for the purposes of making a reservation, one has to click through the drawing to view the room photo and get the room amenities. A mouse over effect on the workplace portal would be more user friendly.

  5. The final button to confirm a meeting should read "Confirm" or similar instead of "Next ->" so the user is aware there are no more steps to complete and they are about to commit the reservation. Screenshot attached.

  6. When a floor is fully booked the blue/gray available/booked highlights do not load at all. This gives users the impression that the highlight has failed to load and there is an application error.

    I see that as of v2023.02 a message has been added indicating there are 0 rooms available. This is an improvement but it could be more clear.

    For a floor that is 100% booked for the selected date/time:
    - Display the highlights showing all rooms gray - this will also allow admins to review bookings for fully-booked floors at a glance.

Similar to the another 2 ideas "Back to Work - Reservation/booking Questionnaires for pre/post use" and Questionnaire for Service Request types, there is desire to have dynamic questions asked of the requestor before they submit a reservation request. We have one client that uses the reservations module not only for reserving rooms but holding events within these rooms. The client wants to set up a series of questions to gather needs for the event/reservation and based on how it's answered, another question may load/display.

    An example would be "Is A/V support needed?" if answered "Yes", a second could appear with…

  8. When a photo is added for a room in the "Define Room" page, the photos show up rotated 90 degrees CCW. I am wondering if there is a certain photo size/orientation/file type that is required to make these images show up correctly within web central as well as Workplace. Thank you!

  9. Enforcing capacity introduced in v25.4 for Hoteling. The feature takes into consideration occupancy/assigned seating as well as booked workspaces but the objective for some organizations is to ensure that there is a reduced number of people in their buildings and floors. So this means that people attending meetings who are also occupying space on the floor should be included in that count.

    An application parameter to turn this on/off would make sense since there may be other organizations that don't want to include rooms in their occupancy/capacity count.

  10. Reservations calendar console - My Reservations - minifilter requires english value "Cancelled" instead of german "Storniert".

    The mini console search doesn’t reflect localized terms as expected. Based on our current system behavior, the search functionality uses English keywords by default, regardless of the selected locale.

    For software used internationally, it's essential to adapt languages ​​consistently. It must be configurable, not hard-coded.

  11. In addition to meeting rooms, a client would like to add floating resources (such as projectors) presently scheduled in Exchange to Archibus so that a reservation in one system shows the resource as reserved in both systems. Effectively extending the meeting room functionality to resources. From a UI perspective it would be most intuitive if the end user could assign the Exchange email address to the resource like they presently do for meeting rooms.

  12. Add Reservation Locations to Favourites. See what days your favourite spaces are available, not only when you go to a specific date. If we could assign user-specific "nicknames" that would be nice too (such as "Corner by the Window" or "Close to Print Station" for example).

  13. Out of the box, only members of the HOTELING ADMINISTRATION security group can cancel a Hoteling Booking with a Start Date in the past. This is desirable for regular, single day bookings. However, for multi-day/recurring bookings it is often necessary to cancel future date bookings sometime in the middle of the booking period. Right now it just won't let you. It should leave all past days as valid booking and cancel all future days to open the room for other bookings on those days.

  14. Some users would like the ability to book a desk in "Incognito Mode" - meaning the desk will be booked and set to "Unavailable," however, other employees will not be able to search for the employee to see where their desk is booked.

As described on the Microsoft Support website -- https://support.microsoft.com/en-us/help/2673231/how-to-control-the-room-finder-in-outlook, an update of the Microsoft Exchange Add-in added an option to completely disable the default Room Finder by adding the following registry entry. This change keeps the default room finder hidden also on the Scheduling Assistant view.

  17. When setting a date, start and end time in the reservations console filter, and you select a room arrangement, a vlokc should appear in the scheduler/week/month view for the selected paramenters. When they are adjusted and the filter is applied, the block should adpat as well.

    in case the user drags a different time frame for the meeting, the from to time in the filter should adapt as well.

    This feature was present in 24.1 and was very usefull and widely used.

  18. One of our customers has outlined several reporting needs that do not appear to be addressed by the current OTB Reservations reports. We’d like to propose the following enhancements for consideration in a future version of the application:

    Utilization Analysis of Underused Spaces - The ability to report on spaces that are never—or rarely—reserved. This would help identify potential issues such as missing equipment or other factors impacting the space’s desirability, enabling deeper analysis and informed improvements.

    Enhanced Check-In/Check-Out Reporting - For example: A comparison report showing check-in/check-out times versus scheduled reservation times. And visibility into which user/spaces are utilizing…

  19. When a cost is set for a room reservation, allow the option for a cost confirmation box to appear when the user is making the reservation. The user would be required to select that they acknowledge the reservation cost before proceeding.

    Currently there is no visibility into the room costs in Workplace and before charging anyone the space team needs to make sure they are aware. Currently they are just adding the cost as an amenity but that could easily be missed.

  20. Hotelling currently only allows approvals for employees whose departments have an approving manager assigned.

    Often the workspaces themselves will require approval, no matter who is booking.

    Rather than have approvals based on the employee department, please create the ability to enforce approvals based on the room/workspace department as well.
