  1. When booking a room, there are often particular notices for special rooms. Would like to see the ability to add text to the room arrangement that, if populated, would be displayed in a window that the user has to accept to book the room.

    Often this is not something that every room needs but if a particular room has a use policy or a cost associated with it that needs to be communicated to the users.

  2. Currently this only applies to Hoteling but we also need this feature for Reservations.

    Clients/User that only implemented Reservations need their employees to be only able to book specific meeting spaces or areas according to their employee standards.

  3. If you are using reservations (tested on workplace in browser) with QR codes, when you scan the code for the room it does not authenticate if you were the person the reservation was booked by/for, it will let anyone check in and out of the reservation. This is a problem with unknowing/malicious users ending the reservations for others to book the space. It would be very useful to have a config to add this restriction to the display of the check in/out button for reservations.

  4. While migrating the existing bookings from the former tool, we found an employee who booked 2 seats in 2 different buildings for the same day, so we got an alert message.
    That is fine, but we would suggest to show in the message also the building/floor/workstation of the other booking.

  5. In either Workplace or Review Bookings (ab-ht-booking-review.axvw), allow the one making the cancellation to enter a reason for why the booking is being cancelled.

    It could be either from an administrator, from a team lead, booking requestor, or the one being booked for.

    Reasons can vary from any number of reasons. Examples could be, "the room is no longer needed", "the floor will be undergoing renovations at that time", "the space is required for a special event", "the room was booked in error", "staff member X booked a desk for me, but I want to use a different desk".

  6. Add a button to edit reservation details and add resources in the Outlook web add-in.

    This button can be a direct link to a Web Central view of the room reservation for the current meeting, which displays some general info about the reservation (reservation code), and grids showing the reserved resources (catering and others), with the option to add / remove resources.

  7. The default subject (reserve.reservation_name) size of the meeting in ARCHIBUS is 64 and MS Outlook can go up to 255 characters. Syncing from Exchange to ARCHIBUS return a 'truncated' error when a subject is more than 64 characters. Best will be to allign the out-of-box ARCHIBUS field size with MS Outlook to prevent this syncing error. Aslo, the hreserve table.

  8. When reservation requests for meeting spaces are being approved, ARCHIBUS should log the user who approved the request along with a date/time stamp.

  9. Certain user roles, specifically guests and external vendors need to be restricted from seeing floor plans. The issue is coming up a lot for Workplace Portal, but is really a system-wide need. There should be the ability to hide floor plans from defined users roles. Either through security groups or an application parameter.

    Then, users without floor plans, need to default to a list of rooms for Booking Conference Rooms, Desks and Service Requests. In other areas of Archibus, they would either not see the button to show a floor plan or clicking the button would show a generic message…

  10. Reservation Editing determined by group allowed to approve or additional field/security group. Currently without the Reservation Manager security group assigned, a user can only edit (per my understanding) a reservation that they created or where they are the requested for/by. Many clients, especially in government, have groups that manage large sets of rooms and need the ability to edit any reservation that falls into that group. There is a need for a field or security group to allow full edit rights to any reservations that falls into a set of rooms, without having to give access to edit every reservation.
